Document Approvals
The Approval stage in Qlutch facilitates formal sign-off by launching Approval sessions where assigned Approvers review and validate Documents. This step is essential to advance Revisions from Draft to Published status, ensuring controlled, compliant Document release.
1. Confirm the Document is Ready for Approval:
- Make sure the Document has completed its Review process (or was moved directly to Approval if skipping Review).
- Check that it is in the Draft or Review Complete state and ready to proceed.

2. Start the Approval Process:
- Click the Start Approval button located in Document Information Revision section (located next to Check Out and Start Review).
- This action launches an Approval session and assigns approval actions to all Users designated as Approvers for this Document.

3. Wait for Approvers to Complete Their Action:
- Approvers will be notified and must complete their assigned Approval tasks.
- Action items such as this, will populate in the User's BaseCamp module.

- The Document will remain in the Approval stage until all Approvers have provided their decisions.
4. Approval Outcomes:
- If all Approvers select Pass, the Document automatically moves to the Published state, continuing through to Effective as configured in your workflow.

- If any Approver selects Fail, the Document returns to Draft status for further edits based on their feedback.

5. Monitor the Status:
- You can track the progress of the Approval session in the Drafts section under the Document details, which shows each approver’s status, comments, and decision.
